A media inquiry is often time-sensitive, but speed should not come at the expense of accuracy. An effective reply confirms what the journalist needs, sets a realistic response time, and gives them information they can actually verify and use.

Acknowledge and clarify

Respond promptly to confirm receipt, even if the full answer will take longer. Ask for the topic, specific questions, deadline, outlet, intended format, and whether the journalist needs an interview, statement, image, or document.
