The Importance of a Press Release in a Communication Plan

Learn when a press release creates a useful public record and when another format serves the news better.

A press release matters when an organization has verifiable news that people outside it may need to understand. It collects the central facts, an accountable source, and a route for follow-up in one dated document. Its value is clarity and accessibility, not a guarantee of press coverage, search ranking, or sales.

What a release contributes

01

One consistent factual account

A headline, dateline, lead, context, and contact give reporters and stakeholders the same baseline information.

02

A referenceable record

A stable newsroom URL can show what the organization announced and when. Corrections should be transparent if facts change.

03

A starting point for questions

Useful releases link to documents, media assets, or a reachable spokesperson so a reader can verify and expand the story.

04

Coordination across channels

The release can anchor brief emails, social posts, investor or customer notices, and internal talking points without making those formats identical.

When it is appropriate

Use a release for a genuinely material launch, appointment, transaction, research finding, event, or policy change. Explain who is affected and why the timing matters. If the update is small or only operational, a direct customer notice, website update, or short media note may be clearer.

A release should state what has happened, not disguise a wish or forecast as a completed fact. Attribute claims, obtain approval for quotations, and distinguish evidence from an executive's interpretation.

What it cannot do alone

Distribution means a release can be offered or posted; it does not mean an independent journalist endorsed it. It also does not create a newsworthy event. A strong announcement still needs audience selection, relevant outreach, a responsive contact, and follow-up material.

Measure results against the communication objective: accurate understanding, appropriate enquiries, useful referral traffic, or substantive coverage. Counting every syndicated copy as a separate editorial story can overstate the outcome.

Practical takeaway

Write a press release when a public, verifiable explanation will help the intended audience act or report accurately. If the news is not ready or another channel is more direct, choose that channel instead.
