Podcast Pitch Template: Make the Audience Fit Clear

A practical structure for inviting a podcast guest or proposing an appearance without inflated audience claims.

A podcast pitch works when its recipient can picture an episode their listeners would value. There are two common directions: a host invites a guest, or a prospective guest approaches a host. The details change, but the core stays the same: show that you know the program, propose a specific conversation, give evidence that the speaker can contribute, and make the next step easy.

Research the show and the person

Listen to a recent episode before writing. Note the show's subject, pace, typical guest, and questions the host has already explored. A technology interview program and a personal-story program might both discuss the same product but need very different angles. Address the actual producer or host where a public contact is available, and follow the show's stated submission process.

Build a short evidence file: a relevant credential, a first-hand experience, a published piece, or a previous conversation that demonstrates the speaker can answer questions clearly. If you cite audience or download figures for your own show, use a dated metric and explain what it measures. Do not invent popularity, celebrity relationships, or a guarantee of mutual promotion.

Use a concise pitch structure

State the proposed topic and the connection to the show, such as 'Guest idea: how neighborhood grocers handle food waste.'

Mention one specific episode or recurring question and why the proposed conversation would add something new.

Offer concrete questions or stories, not a general promise of insights or a product sales presentation.

Give one relevant link, a contact address, availability, and a simple invitation to discuss the fit.

Adapt and follow up respectfully

If you are inviting a guest, explain the recording format, approximate duration, audience, editing policy, and where the episode will appear. If you are pitching yourself, offer a fresh angle and let the host retain editorial control. Spotify for Creators recommends specific ideas and a clear description of the collaboration sought. A thoughtful pitch can be brief; attaching a large deck or sending an entire biography is usually unnecessary.

One short follow-up after a reasonable interval is enough for most pitches. If there is no reply, move on. If a guest or sponsor has a material commercial relationship relevant to a recommendation, disclose it clearly according to applicable rules and the show's policy. After recording, share the approved episode link and accurate promotional assets, but do not imply that an appearance is an endorsement by the host or platform.
